Q. What is the Sfax EFR™?

A. As healthcare providers strive to transition from a paper-based system to an electronic one through the implementation of EMRs or EHRs, they are often faced with hefty upfront costs and significant behavioral changes associated with converting old paper records to electronic records.  Sfax, the first and only EFR  (electronic fax record) for healthcare providers, makes the transition to EMRs a pain-free process  by helping users avoid the initial hindrances involved with making the cross-over.  Up to 80% of a patient chart comes from outside of the physician practice with the majority of it being transmitted via manual fax methods. Sfax provides a seamless transition in the conversion to an EMR-based system with its already electronically-generated records. Sfax is a secure Internet-based fax management system that allows for a HIPAA-ready, affordable and efficient transfer of Patient Health Information.

Q. How does the Sfax EFR differ from EMR?

A. An EFR acts as a bridge technology to the EMR, allowing providers to transition easily into an electronic-based system. It eliminates the initial problems of converting most of the paper documents to an EMR platform because documentation is already electronic with Sfax. It is compatible with every EMR system on the market with or without integration. In fact, many EMR companies use Sfax as the fax solution of choice for their clients.

Q. What is the difference between a digital signature and an electronic signature?

A. Sfax users sign documents with a “digital signature” and are provided a unique digital certificate (provided by SecureCare Technologies a digital certificate authority) at the time of registration. The digital certificate is tied to the digital signature that resides on the Sfax secure remote servers. Having a digital certificate on secure remote servers allows Sfax users to safely digitally sign faxes from any computer with an Internet connection. Users do not have to pay extra, renew, or worry about what happens to their digital certificates if they change computers.

A “digital signature” is legally more acceptable than other types of “electronic signatures,” as it offers both signer and document authentication. Signer authentication is the capability to identify the person who digitally signed the document. Document authentication ensures that the document or transaction (or the signature) cannot be easily altered. The process of creating a digital signature and verifying it accomplishes the essential effects that a handwritten signature does today for many legal purposes.

Electronic signatures often are nothing more than an image of a signature. Electronic signature implementations may offer no greater security than that of a password. Further, “electronic signatures” have no way of verifying whether a document has been altered since the time that it was signed. In other words, “electronic signature” technology does not provide any kind of signer or document authentication.

Q. How will Sfax improve my office work flow? 

A. Sfax will have a dramatic effect on your workflow if you do a lot of faxing, sending or receiving. It saves up to 95% of the time and up to 80% of the cost vs. manual faxing. A good comparison is the difference between email and regular mail. Before email manual mailing was the norm. Sfax will have the same impact. You will never want to go back to manual faxing. It’s easy to use like email and flexible enough to work with almost any type of work flow requirements.
  
Q. How easy is Sfax to install?

A. There is nothing to install and no hardware or software to purchase. You can get started right away with minimal set up and training. Sfax is designed for small, medium or large organizations that have multiple locations across town or across the country. Optionally, we have fax print driver for individual computers or for Citrix networks which will allow you to send a fax directly from any application without the need to save it as a document. This saves time even more time when sending faxes.

Q. Do I have to change my fax number?

A. No. Initially, you will want to keep your current fax number(s) to make sure that you get faxes that are sent to you by those that have your current fax number. The easiest way to do this is to call your phone company and have them forward your current number to one of your new Sfax numbers that we provide. Over time you may want to phase out your old fax number and replace it with your new Sfax number(s). This will give you time to get the word out about the new number(s) you will receive.

Q. What if I want more than one fax number?

A. You can have as many Sfax numbers as you like. Each plan has a specific number included but you can purchase more if needed. See our pricing plan for details. Having an Sfax number for each person that sends and receives faxes ensures that the faxes are routed to the correct inbox. We can help you with the correct set-up depending on your desired workflow.

Q. Can I export Sfax’s to another application such as a document management system or electronic medical record? 

A. Yes. Sfaxes can be saved or exported as a PDF or TIFF image then moved into another application. Alternatively, we can work with your software vendor to further automate this process.

Q. Do I need to have Sfax integrated into my current application?

A. No. Sfax can be used as a stand alone application that works with any application you use. Integration with your software vendor can reduce the number of clicks and make it even easier to send and receive faxes. We are happy to work with your software vendor to integrate Sfax into your application if desired.

Q. Can I import my address book?

A. Yes. Importing your address book makes it easier to send faxes without having to manually look up a fax number and enter it. This is an easy process and we will help you to make sure it is done correctly.

Q. Can I create my own cover pages?

A. Yes. You can upload your current cover page(s), create custom cover pages or use the system default cover page. You can have as many different cover pages as you like and can chose from the one you want when sending a fax.

Q. How is Sfax different from other Internet based fax services?

A. Other Internet fax services are generally fax via email. Healthcare users cannot send or receive patient health information (PHI) via email due to a lack of security and HIPAA regulations. Sfax uses secure protocols to send and receive faxes via the Internet assuring your compliance with HIPAA. Also, Sfax offers features that are not available in standard Internet fax products. Saving, storage (365 days), forwarding, resending, downloading and searching are just a few of the extra features that make Sfax unique and a powerful work flow tool for your office.

Q. How does Sfax compare to installing my own internal fax servers?

A. Internal fax servers are a very good solution but require more internal resources. You will need to purchase fax boards, fax software, fax servers, and additional phone lines to make it work. You will also need to have someone install, manage and keep it up to date with the latest software.  Often additional support costsand Telco charges are involved. Many are not as full featured as Sfax and can do only basic functions such as sending or receiving faxes. Sfax eliminates all the cost and time to set up and manage an internal fax network on a pay as you go basis saving money both short and long term.
