Homecare Homebase launches AutoFax

  • 6-10-2009

Homecare Homebase announces the addition of secure faxing to their comprehensive agency automation solution for homecare and hospice agencies. The new “Auto Fax” product, beta-tested at several agencies, and currently available to all Homecare Homebase customers, allows agencies to fully automate the sending of secure faxes to facilities, physicians or any fax number designated by the agency.

“Our new Auto Fax feature not only saves agencies time and money,” said Linda Bell, Auto Fax Product Manager at Homecare Homebase, “it captures and stores the transmittal information to ensure accurate record-keeping and proper work flow activities for each patient, a tenant of the Homecare Homebase System.”

Partnering with SecureCare™ Technologies, the leader in secure faxing and digital signature technology for the healthcare industry, Homecare Homebase has created the Auto Fax feature to allow agency personnel to pre-program fax numbers and parameters for the type of information to be faxed directly out of the Homecare Homebase system. So, an agency can specify that 485s, visit notes and more are faxed automatically upon completion of data entry to a variety of recipients.

The Auto Fax feature also allows the agency to track and retry failed transmissions based on agency specified workflow. Any transmission failures are flagged in the Homecare Homebase Workflow Manager that alerts the designated staff member so they can take appropriate action. All fax information is time and date-stamped with “receipt confirmation” to ensure accurate record keeping.

“Our Medical Records staff loves Auto Fax! They no longer spend time stuffing envelopes and mailing orders, creating custom fax cover pages or standing at the fax machines sending faxes, they are able to just click and send.” said Walt Ames, Director of IT for the VNA of Mercer County in Trenton, NJ. “With the time savings we've been able to achieve we have been able to reallocate our Medical Records personnel to other tasks and they are able to assist other departments, we have also realized a significant savings in postage and pre-paid envelopes and a decrease in the use of printer/fax toner and paper. All of these add up to big savings for our agency.”

“In addition to obvious time and cost savings that Auto Fax provides, we have also found that several of our customers have seen the added bonus of being able to convert many or all of their physician referral sources who had previously had their orders sent via traditional mail to receive all of their orders via the fax system,” said Tom Maxwell, COO, Homecare Homebase. “We constantly strive to add functionality that increases the efficiency of our customers, but being able to provide increased service to their referral sources is even more important as it enables our customers to present a competitive edge in their markets.”

“We have realized faster turnaround times in receiving signed orders through the use of Auto Fax, which is a great benefit to our internal teams and their process, but it does also allow us to offer a little something extra to our referral sources, which is always a plus, especially in today’s competitive arena for referrals,” said Ames, VNA Mercer County.

“Auto Fax is an example of our ultimate vision for the Homecare Homebase product,” said Guy Conces, CTO, Homecare Homebase, “by providing truly seamless integration and interaction of all the tools an agency needs to be successful we are giving our customers an advantage in the ever changing world of home health and ultimately allowing them to bring better, more efficient services to the table to provide the best in patient care.”
